Chat or calls: which should you automate first?

Pratham GuptaFounder, Virtuo3 min read

Automate whichever channel your customers already use most. If enquiries arrive as WhatsApp messages, start there — it is cheaper per interaction and easier to supervise. If your phone rings and goes unanswered after hours, start with voice. Volume decides this, not the technology.

We sell both a WhatsApp AI agent and an AI voice agent, so treat this with the scepticism it deserves. But the question comes up in nearly every first conversation, and the honest answer is usually decidable in ten minutes with information you already have.

Start by counting, not by choosing

Open last month's numbers and answer two questions. How many enquiries arrived on WhatsApp? How many arrived as phone calls — including the ones nobody answered? Your call log has the second number, and it is almost always higher than people expect, because missed calls do not feel like events.

Automate the bigger column first. Almost everything else is a rounding error next to that.

Where each one is genuinely better

WhatsApp wins on cost and on auditability. A conversation you can read is a conversation you can fix. Voice wins when the customer will not wait — a service outage, a same-day booking, a caller standing outside your shuttered showroom at nine at night.

The three cases where the answer is obvious

You are an e-commerce or D2C brand. Start with WhatsApp. Your customers are already there, the questions are repetitive — where is my order, do you have it in blue — and everything leaves a written trail you can audit.

You are a clinic, a dealership, a travel desk or a real-estate office. Start with voice. People phone you, they phone during your busiest hour, and the booking is the entire transaction.

Your enquiries come from ads. Start with whichever the ad points at, and check the click-to-WhatsApp entry point rules before you budget — that route still opens a free 72-hour window, which is a real cost advantage.

The case where the answer is neither

If your problem is that enquiries arrive and nobody follows up, automation will make you fail faster and more consistently. Fix the follow-up first. An AI agent multiplies whatever process it is pointed at, including the broken ones.

Doing both, in the right order

Most businesses end up running both, and the sane sequence is: automate the larger channel, run it for a month, read the transcripts, then extend the same knowledge base to the second channel. Vibot and Vio share one dashboard and one knowledge base precisely so the second channel is a configuration exercise rather than a second project.

One timing note if WhatsApp is your answer: Meta starts billing in-window service replies and utility templates on 1 October 2026, so build your cost model on the new rates rather than this quarter's invoice.

Not sure which column is bigger? Send us your numbers and we will tell you — including when the answer is that you do not need us yet.
