What a WhatsApp AI agent actually does all day

A WhatsApp AI agent answers inbound customer messages on your own verified business number, around the clock. It reads voice notes, images and PDFs as well as text, answers from your own documents, and escalates to a human with the full conversation attached when a query needs one.

Most WhatsApp automation sold in India is a decision tree wearing a costume. Press 1 for sales, press 2 for support, and a customer who types something the tree did not anticipate falls straight through to nobody. That is not what we mean here.

This is what an actual AI agent on WhatsApp handles in a working day, based on what Vibot does. Where a thing has a limit, we have said so.

It runs on your own number, not a lookalike

The agent sits on your verified WhatsApp Business number through Meta's official Cloud API. Customers message the number already on your invoices and your Google listing. Nothing about the conversation announces that a business is running software behind it, and nothing routes through a grey gateway that Meta can switch off at short notice.

Practically, that means WABA-compliant messaging: template rules, quality ratings and the 24-hour service window all apply exactly as Meta defines them. Worth knowing that the economics of that window change on 1 October 2026.

It reads more than text

Customers do not send tidy sentences. They send a forty-second voice note from a scooter, a screenshot of an error, or a PDF of a purchase order. An agent worth running handles all three:

This is the single biggest difference between a chatbot demo and something that survives contact with real customers. A tree that only parses keywords fails on the first voice note of the morning.

It answers from your documents, and shows its working

You upload your FAQs, price lists, policies and product sheets to a knowledge base, and the agent answers from those rather than from whatever a general model believes about your industry. It shows which source it used, which is what makes it auditable — you can tell the difference between "the AI is wrong" and "our PDF is out of date," and those need very different fixes.

Knowledge-base capacity scales with the plan: one document on Lite, five on Basic, twenty-five on Pro, a hundred on Growth.

It knows when to stop

The most important feature in any customer-facing AI is the one that hands over. When a query needs a person — a refund argument, an angry customer, anything outside the knowledge base — the conversation escalates to a human agent with the full history attached, so nobody has to ask the customer to explain it all again.

Supervisors get seats to watch live conversations and step in: one seat on Free, two on Lite and Basic, three on Pro, five on Growth.

It works in the language the customer chose

The agent handles nine Indian languages plus English, including the Hindi-English mix people actually type. A customer who writes in Marathi should not be answered in English on the grounds that the FAQ document was written that way.

What it does not do

It does not replace a sales team on a complex deal. It does not make a bad product answer for itself. And it will not rescue a business whose actual problem is that nobody replies to the enquiries it already has — though it does make that problem considerably cheaper to solve.
